Defaults are deliberately mid-range: a 25% missed rate, a 40% close rate and a $400 job. Replace every one of them with your own numbers — your phone bill and invoices beat any preset.
How this calculator works
The formula is the standard one used across the industry: annual loss = calls per week × missed percentage × 52 × close rate × average job value. It is deliberately conservative in two ways. First, it only counts callers who would actually have booked — a ringing phone is not lost revenue until a would-be customer is on the other end. Second, it ignores repeat business and referrals, which for most trades are worth more than the first job.
What it does not do is use the folklore numbers that fill most missed-call articles. There is no "$126,000 a year" preset here, because that figure traces to vendor blogs, not a study. There is no "85% never call back" assumption, because nobody has produced a primary source for it. If you want the receipts, our missed call statistics page verifies the real figures and debunks the fake ones, and our methodology page lists every source behind this site.
What to do with your number
If your annual loss is smaller than the cost of any answering solution, do nothing — genuinely, the maths is the maths, and our guide to stopping missed calls starts with free fixes. If your loss is many times a plan's cost, compare your options properly: price an AI receptionist at your volume with the cost calculator, or weigh a human against AI with the human vs AI calculator.

Frequently asked questions
How is the missed-call loss calculated?
Annual loss = calls per week × missed-call percentage × 52 weeks × close rate × average job value. A missed call only costs you money when that caller would have become a paying job, which is why the close rate matters.
What missed-call rate should I use?
If you do not know yours, start with 25%. ServiceTitan has reported home-services businesses missing 18% of weekday calls and 41% at weekends. Your phone bill or call log will give you your real number.
Do missed callers really not call back?
In CallRail's 2025 survey of 1,000 US consumers, 82% said they would call a competitor if a business did not answer, and only 42% said they leave a voicemail. Be wary of sites claiming '85% never call back' — that figure has no verifiable source.
What does the recovery module assume?
It assumes an answering solution (such as an AI receptionist) recovers a share of the calls you currently miss. At the 50% default, half of the lost revenue comes back; subtract the monthly plan cost and you get a net figure and a payback period in days.
